Eight things that decide whether e-invoicing works in practice

Valid invoices, in both directions
Outbound and inbound validationEvery document is validated against the rules that actually apply to it: the European semantic standard EN 16931, the country-specific business rules layered on top of it, and the syntax rules of the target format. Outgoing invoices are checked at the moment they are generated, so a missing tax code or a malformed reference is corrected in your own system rather than returning days later as a rejection from the buyer or the authority.
Incoming documents go through the same gate. Anything that does not satisfy the rules is flagged before it reaches your accounting team, with the failing rule named rather than a generic error.
- Format, tax and country rule checks in both directions
- Errors reported against the rule that failed, at the source
- Every validation result stored as part of the document audit trail

One cockpit, many countries
Coverage and regulatory changeYour data is mapped once to our canonical UBL-based model, and each country is a target built on top of it. That is why the second country costs a fraction of the first: the mapping work is already done, and only the country-specific extension is added.
We are live in Belgium, Germany, the Netherlands, Slovakia, Poland, Serbia, Norway, the United Kingdom and Malaysia, pre-approved in France, and in progress for Australia and New Zealand. Every country is managed from the same cockpit rather than a separate tool per market.
- Source to canonical to target, so a new mandate is a configuration
- Regulatory and authority-driven changes covered by maintenance, not billed as projects
- Outbound and inbound documents for all countries visible on one screen

Live in 3 to 6 weeks
ImplementationThe first integration typically goes live in three to six weeks, and the pace depends more on how quickly your team answers questions than on our side of the work. Internally a first country is roughly ten to fifteen man-days, because the mapping is done during onboarding instead of being sold as a separate discovery phase.
A standard SAP setup integrates directly. Custom fields need minor updates rather than redevelopment, and once the first country is running the next ones need very little change.
- Source-to-target mapping performed during onboarding
- No middleware project, no BTP subaccount, no Cloud Connector setup
- Additional countries added on the same integration in a fraction of the time

Your data, your format
Integration optionsIf you do not run one of the ERPs we have an add-on for, the platform is API-first and meets your data where it already is. There are four routes, in the order we recommend them: call our APIs with structured data in any format you already produce (XML, JSON or CSV); let us read files you drop in a location of your choice; read directly from your database; or, as a last resort, parse PDF invoices into structured data with human approval.
On the way out we generate and validate ZUGFeRD, XRechnung, UBL and local country formats, and deliver them over Peppol, by email, or both.
- REST APIs accepting XML, JSON or CSV, no canonical format imposed on you
- File drop and direct database read where an API call is not practical
- No middleware licence, no BTP, no CPI

Native add-ons for SAP, Microsoft Dynamics, Oracle Fusion and Odoo
eDocSuiteeDocSuite is the family of add-ons that run inside the ERP rather than beside it. The SAP add-on is certified and runs in our own namespace on ECC and S/4HANA, on-premise or in the cloud, with a Fiori interface and every country on a single cockpit. Because it operates on SAP's document output rather than inside your business processes, normal release upgrades, support packages and OSS notes do not disturb it, and adapting to new SAP output is contractually guaranteed.
The same approach extends to Microsoft Dynamics, Oracle Fusion and Odoo: the add-on handles capture and posting inside the system your users already work in, while the compliance engine, country coverage and Peppol connection stay shared.
- Certified SAP add-on in its own namespace, ECC and S/4HANA, no BTP or CPI licensing
- Add-ons for Microsoft Dynamics, Oracle Fusion and Odoo on the same engine
- Pipeline from the standard INVOIC02 IDoc to canonical UBL to the target country format

Accredited, not resold
Peppol Access Point and SMPWe are an accredited Peppol Access Point and we operate our own SMP. That combination matters more than it sounds: the SMP is where your identity and your receiving capabilities are published, so running both roles ourselves means registration, routing, delivery and troubleshooting sit with one accountable provider instead of being passed down a chain of resellers.
When a document does not arrive, there is one party to ask, and that party can see the whole path.
- Accredited Access Point plus our own SMP registration
- No intermediary between you and the network
- End-to-end document status with 24/7 monitoring behind it

Ready to post
Inbound automationReceiving a compliant invoice is the easy half. The work your team feels is what happens next, so incoming Peppol and XRechnung documents are parsed, their fields extracted and matched against the purchase order, and handed over as data that can be booked.
In the SAP add-on this becomes a screen rather than a file: the invoice image sits on one side, the SD, MM or FI transaction on the other, with the header filled in automatically and, for PO-based invoices, the line items too. Rules-based automatic posting for clean matches has completed development and is in testing.
- Parsing and field extraction for Peppol and XRechnung documents
- Split-screen posting with the relevant transaction opened pre-filled
- Purchase-order matching, with automatic posting where the rules allow it

Audited, not asserted
Security and privacyInvoice data is commercial data, and in many cases personal data as well. We hold both ISO 27001 for information security and ISO 27701 for privacy information management. The second one is still uncommon among Peppol Access Points, and it is usually the certificate that a security review asks about once the first one is on the table.
Transfers run over encrypted channels, every step of a document's journey is logged in an auditable form, and the help desk monitors the platform around the clock.
- ISO 27001 and ISO 27701 certified, audited by an external body
- Encrypted transport and a complete, auditable document history
- 24/7 monitoring and help desk

Connect to Peppol Without Touching Your SAP
If you run SAP ECC or S/4HANA, the concern is never compliance alone, it is what an integration does to a stable system. eDocSuite is a certified add-on that runs in its own namespace, so invoices are created, sent, received and posted from inside SAP with no separate tool and no change to standard processes.

One API in Front of Any System You Run
Odoo, Oracle, Dynamics or something built in-house: the compliance engine is the same, only the way documents reach us differs. Send structured data in the format you already produce, drop files in a folder, or let us read your database. Nothing in your ERP has to be rewritten.
Frequently Asked Questions
No. Docnaut connects to your existing system over an API, with no software change. If you run SAP, eDocSuite works directly inside SAP.
You can run Docnaut alongside your current connection or replace it with a single integration. The difference is our SAP expertise, our country coverage and real-time monitoring of every document.
The first country is typically live in 3 to 6 weeks. Because the mapping is done once against our canonical model, each additional country needs very little work.
Yes. The same integration covers Belgium, Germany, the Netherlands, France, Poland, Norway, Malaysia and more, and new mandates are added on the same connection.
Regulatory and authority-driven changes are covered by maintenance. Only changes you request yourself, outside compliance, are billable.
